We're Hiring an Office Administrator

Southwest Companies, Inc. is hiring a full-time Office Administrator to provide administrative support to ensure efficient operation of the office. 

The scope of the Office Administrator position will include communicating via phone and email to fulfill administrative duties and make sure they are completed accurately and in a timely manner. Other duties and responsibilities will include the following:

  • Quickbooks knowledge (entering vendor invoices/invoicing customers)
  • Answering phone/ Taking Messages
  • Filing
  • Typing Quotes
  • Scanning & Email
  • Setting up new jobs
  • Prepare weekly meeting documents
  • Opening daily mail
  • Microsoft Word/Excel
  • Enter Credit Card receipts in QB
  • Reconciling green book
  • Filing
  • Scanning all receipts and invoices into a shared file
  • Opening New jobs in QB and in Shared file
  • Preparing the new job folders
  • Updating job sheet list
  • Faxing ( when needed)
  • Data entry of receipts/ invoices/ sub sheets
  • Emailing clients with reminders of past due invoices/ or letting them know about project updates
  • Keeping updated on all non-money estimate folders
  • Prepping all new customer folders
  • Making all labels for job folders / Mail labels
  • Preparing quotes, and change orders, or making new customer agreement
  • Watering office plants

Starting pay is $12 per hour, health benefits are available.
